The Office of External Affairs was created in February 2006 to bring together units responsible for influencing public policy and opinion and strengthening the university's reputation and the perceptions people hold of it. The units include the offices responsible for government relations at the federal, state and regional levels; media relations and communications; marketing; trademarks and licensing;? and UWTV.

The Trademarks and Licensing Office is responsible for planning, managing, protecting and promoting the use of the University?s names, logos, designs, trademarks, service marks and other identifying materials.? The office currently manages a licensee base of 350+ vendors and 200+ retail outlets to generate an annual royalty income to the University of Washington of approximately $1.3 million.

The Trademarks and Licensing Office has an outstanding opportunity for a Licensing Compliance Coordinator (LCC) to perform regulatory and administrative operations of the trademark program and serves as an information resource for the University community and/or the general public concerning trademark licensing and enforcement.

ENSURE THAT ALL LICENSEES COMPLY WITH THE ESTABLISHED UW CODE OF CONDUCT

?? ?? Participate in appropriate license reviews and negotiations
?? ?? Coordinate services provided to the University as a member of the Workers? Rights Consortium and the Fair? Labor Association along with those provided by the Collegiate Licensing Company (CLC), the University of Washington?s Licensing Agent
?? ?? Monitor UW licensee performance and drive a higher level of social responsibility compliance
o? ?? Utilize social responsibility reports and business performance data to determine eligibility for annual license renewal
o? ?? Alert UW licensees of potential breech of UW Code of Conduct and performance adjustments needed to ensure continued partnership with the UW?
o? ?? Authoring communications to licensees, licensing agents, and NGO?s and tracking licensee response
?? ?? Participate as administrative support and ex-officio member of the UW President?s appointed Advisory Committee on Trademarks and Licensing

MANAGE THE PORTFOLIO OF REGISTERED MARKS HELD BY THE UNIVERSITY OF WASHINGTON

?? ?? Collaborate with the Attorney General?s Office, outside counsel, and the legal department of the Collegiate Licensing Company to manage legal activities pertaining to securing state, federal and international trademarks and negotiating licensing agreements
?? ?? Maintain the University's trademark registrations including monitoring, enforcement and renewal or retirement of UW trademarks
?? ?? Determine the appropriate trademark/service mark registrations including specifying classification and coordinating the filing and maintenance of all the University?s federal trademark registrations with the U.S. Patent and Trademark Office
?? ?? Direct legal activities as required, utilizing university, CLC and private resources as appropriate and in alignment with the departmental budget

PROTECT THE UNIVERSITY OF WASHINGTON TRADEMARKS

?? ?? Interpret policies, guidelines and procedures to monitor, authorize and manage trademark use by the university community, licensees, businesses, and individuals
?? ?? Pursue and resolve trademark infringement activities on behalf of the University including:
o? ?? Coordinating game enforcement activities:? Work with CLC, the Athletic Department and University Police to patrol stadium grounds and surrounding area prior to sports events including athletic special events such as bowl games

o? ?? Reviewing CLC?s investigation reports of unlicensed merchandise and working with CLC?s legal team (or engaging the UW Office of the Attorney General as appropriate) to seek restitution from infringing vendors and/or to remove unlicensed merchandise from the market place

o? ?? Monitoring printed publications, internal and external, such as newspapers, magazines, social media and websites, for unauthorized use of the trademarks

o? ?? Conducting periodic surveys in retail outlets through area to discover unlicensed merchandise and educate retail buyers regarding the necessity of purchasing licensed merchandise
?? ?? Notify unlicensed manufacturers of illegal sales and liaise with Attorney General?s office and outside counsel to halt sales and/or misuse
?? ?? Maintain necessary financial and enforcement documentation

ADDITIONAL RESPONSIBILITIES

?? ?? Work with the university community, manufacturers, retailers and general public to provide information about the University?s licensing program
?? ?? Maintain professional contact with peer institutions, licensing organizations, and trade organizations. As directed, represent the University at appropriate conferences and professional meetings along with participating in working groups
